Key Components of a Professional Email

1. Subject

  • You should always include a subject when sending an email. The subject should be relevant to the question or information you need.
  • Don’t include unnecessary words or phrases already included in the email. Instead of “hello George, here are my three proposals for next quarter’s project,” write “Three Project Proposals.”

2. Greeting

– It is important to open your email with a greeting. Here are some examples:

  • “Dear John”
  • “Hi Mrs. Smith”
  • “Hello Dr. Smith”
  • “To Whom It May Concern”-­‐ if you are contacting a company, not an individual.

3. Email opening

– It is important to keep this to one sentence and concise.

  • I hope the pandemic hasn’t been too harsh on you…
  • I hope you are well in these interesting times…
  • I hope the week is going great so far…
  • I hope your day so far has been pleasant…
  • I hope your weekend was excellent…
  • I hope your week started out well…

4. State Your Purpose

– It is important that you make your purpose or question clear and always give the reader all the information they will need to help answer your question. You can state the purpose statement with:
• “I am writing in reference to”
• “ I am looking for help with”
• “Do you have any information regarding”
• “ I am writing to enquire about”

5. Closing Remarks

– You should always give the reader some recognition, appreciation, or thanks for the work they will do to answer your question, refer you to the right person, or information they will give you. Here are some examples:

  • “Thank you in advance for your help”
  • “I look forward to hearing from you”
  • “Thank you for your time”
  • “Thank you for your assistance in this matter”
  • “Your help is greatly appreciated”

6. Closing with your Name

– This is the last step always end with one of the following:

  • “Best Regards, insert your name”
  • “Sincerely, insert your name”
  • “Thank you, insert your name
